Responsibilities

  • Client communication: Responding to client inquires via phone, email, or in person
  • Documentation and record keeping: maintaining/organizing client files & records
  • Administrative support: Managing office supplies, maintaining inventory, and other misc. items
  • Appointment scheduling: Coordinating/scheduling meeting, appointments, and conference calls
  • Billing and invoicing: Handling billing processes for clients and ensuring timely payments
  • Financial Transactions: Processing financial transactions and managing client accounts
  • Client onboarding: Facilitating the onboarding process for new clients
  • Compliance & regulation: Assisting with regulatory filings and updates
  • Technology Management: Overseeing & maintaining office technology
  • Event Planning: Assisting with organizing seminars, workshops, or other client events.

Qualifications

  • Minimum of 2 years' experience in the financial services industry providing administrative support
  • Effective communication skills for professional correspondence with clients and colleagues
  • Proven experience in administrative assistance tasks such as scheduling, preparing reports, and managing files
  • Proficient in the use of office equipment and technology
  • Excellent customer service skills and ability to handle client inquiries
  • Ability to handle and coordinate office administration tasks efficiently and effectively
  • Attention to detail and ability to multitask and prioritize tasks
  • Ability to work independently and as a team player
