Responsibilities
- Client communication: Responding to client inquires via phone, email, or in
person
- Documentation and record
keeping: maintaining/organizing
client files & records
- Administrative
support: Managing office supplies,
maintaining inventory, and other misc. items
- Appointment scheduling: Coordinating/scheduling meeting, appointments,
and conference calls
- Billing and invoicing: Handling billing processes for clients and
ensuring timely payments
- Financial Transactions: Processing financial transactions and managing
client accounts
- Client onboarding: Facilitating the onboarding process for new
clients
- Compliance & regulation: Assisting with regulatory filings and updates
- Technology Management: Overseeing & maintaining office technology
- Event Planning: Assisting with organizing seminars, workshops, or
other client events.
Qualifications
- Minimum of 2 years' experience in the financial
services industry providing administrative support
- Effective communication skills for professional
correspondence with clients and colleagues
- Proven experience in administrative assistance tasks
such as scheduling, preparing reports, and managing files
- Proficient in the use of office equipment and technology
- Excellent customer service skills and ability to handle
client inquiries
- Ability to handle and coordinate office administration
tasks efficiently and effectively
- Attention to detail and ability to multitask and
prioritize tasks
- Ability to work independently and as a team player
