RESPONSIBILITIES

  • Office Operations: Manage general office tasks, ensure that supplies are stocked, and maintain an organized workspace
  • Customer Support: Answer incoming calls and respond to customer inquiries in a professional manner
  • Mail and Inventory Management: Sort incoming mail, coordinate shipments, and track inventory in collaboration with Service Delivery and Project Management teams
  • Purchasing and Invoicing: Coordinate the Purchasing/Invoicing Board, handle equipment purchases, create invoices, and track inventory needs
  • Cross-Team Collaboration: Work closely with Sales, Account Management, Service Delivery, and Project Management teams to ensure administrative tasks are completed effectively and efficiently
  • Customer Success Support: Assist in customer check-ins, send agreements for electronic signatures, and help coordinate meetings with the Customer Success Coordinator
  • Audit and Billing: Perform administrative audits of product catalogs, configurations, and contact lists. Assist with full-time monthly billing and ensure accuracy of reports
  • Logistics and Coordination: Coordinate business meeting logistics, team events, and shipping/receiving for client-ordered supplies

QUALIFICATIONS DESIRED

  • 1-3 years of experience in an administrative or office coordination role
  • Strong organizational skills and ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Strong attention to detail, with the ability to accurately handle data, invoices, and reports
  • Ability to work independently and collaborate effectively with cross-functional teams
  • A love for technology and its impact on both personal and professional life
  • Ability to work in person at our office located in Amherst.
