Courtroom Clerk (Deputy Clerk III)

CIRCUIT COURT CLERK

The Deputy Clerk III will be in the criminal division which shall include courtroom. Must be able to work up under stress. This position is responsible for providing initially criminal court administration assistance to judges, attorneys, defendants, and court personnel. This class is responsible preparing all necessary paperwork to reflect judge’s orders whether in criminal or if necessary civil proceedings. This will allow our criminal and assistant supervisors to manage effectively, efficiently for the Clerk’s office, and have back up which will allow continuation to operate seamlessly with confidence and security. Deputy Clerk III must multitask and prioritize in order to be able to start and stop what they are doing. The Deputy Clerk III must have extensive knowledge preferably circuit court experience but will train having prior general or juvenile domestic courtroom experience.

The Deputy Clerk III, involves entering various data and information into state computer systems, including but not limited to: case entry must be precise with certifying cases from Juvenile Domestic and Relations and General District Court appeals, direct indictments and audit, researching guidelines, and composing and typing a variety of routine documents. This class involves organizing and maintaining departmental records and updating the case management and financial management systems. This class works within a general outline of work to be performed; develops work methods and sequences under general supervision.
Document authentication of legal documents through the certification process. Preparation, gather and organize all required judicial paperwork with accuracy and in accordance with appropriate policies and statutory regulations with a broader skill level.

Performs job duties at an advanced level based on circuit court knowledge and experience, including but not limited to; resolving each specific hearing for a various number of defendants.
Understanding process for Circuit Court Capias when receiving and examining defendant’s paperwork. Coordination of the placement of defendant’s circuit court docket that are required to attend their circuit court arraignment. Expect to be able and qualified in handling court reporter, defendants, and witness’s oaths. Must transcribe swiftly and accurately judge’s orders. Must be able review and examine violations working with other agencies, i.e., Probation and Parole for accuracy. Responsible for the chain of custody by accurately and precisely cataloguing evidence.
Operate photocopy equipment, cashier registers, bar code scanners, document scanners, imaging stations, and/or record indexing and verifying stations. Receipt fees, taxes, fines, restitution, and responsible for loading court costs for various court matters onto state systems.
Customer service is essential and expected responding to our customers’ questions whether by emails, telephone calls and front counter.
