Responsibilities
- Maintain proper
records and files providing the office staff with organized and adequate
information and resources.
- Maintain membership
database to remain current with accurate information.
- Provide support role
for staff members through organizational and administrative support as needed
to help further the goals of the association.
- Coordinate prospect
meetings, engagement meetings, and new member onboarding scheduling, including
collaborating with staff and members on assigned roles.
- Monitor and
coordinate twelve-month member onboarding program.
- Provide support to
members for membership database and website.
- Manage the process
of publishing a print membership directory annually.
- Provide
administrative support to President and membership director as needed to
further the goals of the association.
- Manage member
processing for new members and renewals including submitting monthly reports
and supporting the onboarding process.
- Update our
distribution lists as necessary.
- Assist President
with other duties as requested.
Member Programs
- Assist ABC staff and
committee chairs in developing committee agendas and meeting packets, take
meeting minutes at all committee meetings, and distribute committee minutes
after meetings.
- Assist with all
chapter meetings and events to ensure a positive experience for members and
attendees.
- Assist membership
director with promotion items, member visits, and leave behinds for members.
- Assist with
coordinating speakers for chapter events.
- Maintain meetings
and events registration lists; produce sign-in sheets as needed.
- Support execution of
ABC functions including Board and committee meetings, networking events,
Excellence in Construction Awards Banquet, graduation, golf tournaments and
other Member Events through event preparation and registration.
- Provide printable
name tags, drink tickets, rosters, signage etc. for all events.
- Responsible for
sponsorship tracking for all events.
- Ensure supplies are
prepped prior to event day by communicating with the appropriate ABC team
member.
- Manage post event
deliverables, including but not limited to finalizing registration lists,
handing in receipts, working with appropriate ABC team member to finalize event
financials.
- Help develop, monitor,
and manage Chapter wide event budgets within scope of responsibilities, in
collaboration with President/CEO, including final bill resolution.
- Assist with
developing outline, delegation, and management of tasks for the event team
onsite.
- Monitor and report
on event status including room block, F&B planning, space allocation, AV,
prizes, and planning concerns.
- Research and
evaluate venues and facilities; conduct site inspections, and make
recommendations to leadership regarding site selection
- Communicate with
staff and volunteers of event timelines.
EXPECTATIONS
- This is a non-exempt
full time position; includes employment benefits, and business mileage from
primary office to work related locales (not commuting) reimbursed at the
standard IRS rates.
- Work typically
during normal office hours which are Monday-Thursday 8:00 am – 5:00 pm, and
Friday 8:00am-12:00pm with ½ hour per day lunch.
- Daily hours may vary
based on seasons and/or Chapter events.
- Chapter territory
includes fifteen counties in Central Texas.
- Hybrid
home-office/principal office work could possibly be negotiated.
- All ABC Central
Texas team members are expected to be flexible and helpful with the ongoing
needs of the Chapter within the entire chartered territory which includes 15
Texas Counties.
- Office attire is
business casual, but may vary from time to time.
- ABC Central Texas is
a tobacco/smoking/vaping/drug-free environment.
- Reliable
transportation is a requirement.
- Must be able to sit,
stand, bend, and lift 15 pounds.
Position Requirements
- Minimum of two (2)
years work experience.
- Strong computer
skills including word processing, database management, electronic mail,
spreadsheets, etc.
- Success in
developing high performing skills and setting personal goals for advancement.
- Professional
demeanor and presentation of self.
- Ability to organize
and manage several priorities simultaneously while working under pressure and
deadlines.
- Is highly organized
and detail-oriented.
- Demonstrates
project- and time-management skills.
- Has the ability to
communicate professionally verbally and in writing to a diverse membership and
others contacted in the course of work.

- Travel up to 10% by
land and/or air throughout the Central Texas region as required.
INTERNAL RELATIONSHIPS
- Reports to President
& CEO.
EXTERNAL RELATIONSHIPS
- Communicates
regularly with members, ABC National office, committees, instructors, colleges,
students, staff and others.
- Assists other departments with responses to member queries and needs
