Performs complex clerical, administrative, and technical work within an inclusive team environment; duties may be varied, and require selection of appropriate actions among several alternatives. Does related work as required. Work is performed under general supervision. Position may be embedded within work unit and perform duties that are essential to achieve work process, Work requires extensive knowledge of department, division, or unit policies, procedures, and services and ability to communicate these to others.
Responsible for a variety of routine and complex administrative or semi-technical assignments.
May have access to and/or process highly confidential and time sensitive information, including case-related information in child and adult protection, foster care, adoption, adult, family, and children’s benefits, etc.
Prepares a variety of documents. Formats, edits, updates and distributes as required.
Collects unit or division data and prepares reports for manager review. Verifies and enters unit/department-related information into database. Maintains database and keeps information current.
May maintain contracts and proper paperwork for all CSA vendors and will be responsible on entering rates into the Financial System.
May prepare agendas and other documentation for meetings, including meeting minutes.
Meets/greets/screens customers/visitors. Provides assistance as appropriate. May resolve difficult customer-related issues.
Answers unit/department phones, takes messages, and provides responses. Elevates difficult questions and callers to next level.
May code invoices and processes expense forms for payment.
Prepares reports specific to unit/department.
Prepares department-specific mailings.
Schedules meetings and appointments and administers calendar.
Establishes and maintains files. Files documents and other materials.
Assists with bulk mailings
May maintain inventory of materials, supplies, and/or equipment. May serve as first contact for office equipment maintenance.
May coordinate activities of office and provide back-up for administrative staff.
May serve on special and/or regular teams and committees.
May have responsibility for supervision of administrative support staff. Responsibility may include providing occasional direction to administrative support staff in the department and temporary staff.
